Royal Ottawa Sports Club Terms and Conditions

 

Section 1: Terms and Conditions of Registration

In consideration of the Royal Ottawa Sports Club (henceforth ‘ROS’) and its affiliates (for example, RBS also known as Royal Badminton Smashers Club, or other affiliates and clubs under ROS) accepting the member’s application and registration in the club, the member agrees to adhere to all ROS and its affiliates’ rules, regulations, policies, procedures and player code of conduct in respect to the program and to abide by all terms and considerations of registration. The terms and conditions outlined in this document also apply to anyone who registers and attends ROS and its affiliates’ events as a non-member or guest for drop-in play, tournaments, or as an event spectator including the indemnification section.

 

Section 2: Severe Allergies

It is the responsibility of the members or parent/guardian of the member to identify themselves or their child(ren) if they have a severe allergy and/or require an Epipen®.

 

Section 3: Code of Conduct

In an effort to provide members with a safe and enjoyable environment, ROS and its affiliates will adopt a zero tolerance approach towards physical or psychological abuse, as well as intentional damage to ROS/ROS and its affiliates’ property and the property of others. The ROS and its affiliates’ reserves the right to take necessary measures including, but not limited to, suspension or termination of membership and/or contacting the police when any participation contravenes ROS and its affiliates’ policies.

 

Section 4: Indemnification

I, as the member or on behalf of the member, agree that by registering in the club, the member is knowingly and freely assuming certain injury and legal related risks. A member’s participation in the club will be deemed to indicate acceptance of such risks. The member, his/her heirs, executors and administrators agree to indemnify and hold harmless ROS and its affiliates liable from all claims, demands, actions or causes or action, loss, costs or damages that ROS and its affiliates may suffer, incur or be liable for in relation to any injury the Member may suffer or cause to others in connection with his/her negligence or action, or if the Member, or Parent/Guardian of the Member is unaware of any health-related problems that the member may have that could cause injury to himself/herself while participating in the club.

 

Section 5: Player Code of Conduct

ROS and its affiliates operate in a positive atmosphere of respect, fair play and good sportsmanship. 

 

  1. Help set up and clean up
  2. Be a welcoming and positive club member and/or guest.
  3. Competitive spirit is welcomed but please remember that ROS is a community club bringing people together through sports and our members are of all skill levels. 
  4. Leave the court promptly when finished or taking a rest
  5. Zero tolerance for loud, abusive or profane language.
  6. Zero tolerance for aggressive or threatening behaviour.
  7. Share your expertise with less experienced players
  8. Develop a consistent habit of good sportsmanship and fair play
    1. Keep scores and rotate fairly to give everyone a chance to play
    2. Shake hands after each match
    3. Congratulate your opponent politely if you lose
    4. Acknowledge a strength, good shot or good rally of your opponent and teammates
  9. Proper attire is required for each sport (ie. wear non-marking indoor gym shoes for any indoor sports) Zero Tolerance for outdoor shoes inside the gym by facilities. Players without indoor shoes will be sent home.
  10. No hats allowed while you are on court or field. No chewing gum/candy or similar allowed on court or on the field, at all times.
  11. Check the field, gym and courts to ensure area is clean and safe for play.
  12. Ensure shoe laces are tied for yourself and fellow members while playing for safety.
  13. CELL PHONES – Please avoid using cell phones while playing, respect others’ time and they will do the same for you. This includes turning the phone off, unless emergency calls are expected (avoid any delays to the game)
  14. The wearing of polycarbonate lenses in a frame designed for sports (ASTM F803) is strongly recommended during club play for all members and guests. The use of protective eyewear for Juniors in doubles play is mandatory.
  15. Represent ROS and its affiliates positively outside of the club. 

 

Section 6: ROS Regulations

  1. Members and any persons attending ROS and its affiliates events shall ensure that they comply with all rules and regulations posted in the facility and/or on the property, and with all directions given by School representatives.
  2. ROS and its affiliates’ members and any persons attending the club shall only have access to the: gymnasium, male & female change rooms & washrooms.
  3. ROS and its affiliates’ members and any persons attending the club with a motor vehicle shall comply with any restrictions on parking as may be posted or otherwise designated in the parking lots. Main entrance to be used to enter the premises.
  4. ROS and its affiliates’ members and any persons attending the club must change into appropriate athletic footwear and must not enter the gymnasium in shoes that have been worn outside. The use of shoes marking the surfaces is strictly prohibited. All ‘spectators’ must remove their wet shoes before entering the gymnasium.
  5. Smoking, alcoholic beverages, gambling or illicit substances are strictly prohibited within the  facility or otherwise within or on the property of the schools and facilities ROS and its affiliates’ operates at.
  6. Any member who exhibits behavior that would be deemed inappropriate and/or jeopardize the use of club facilities, will be asked to leave the club, by the executive, without a refund of registration fees.
  7. Aisles, fire exits, fire alarms, fire hydrants, lobbies, passageways, stairways or doorways are not to be blocked by members or by anyone attending an event or activity
  8. Members shall not permit garbage or debris to accumulate at the facility. Garbage bins are provided near the gymnasium.
  9. Members shall be solely responsible for their own safety and the safety of their guests attending the club. Protective eyewear is strongly recommended for all players.
  10. Members shall not do or permit to be done any act which shall or might subject the facility and/or ROS and its affiliates to any liability or responsibility for injury to any person or persons or to property by reason of such activity.
  11. The Member shall indemnify School, Facility and ROS and its affiliates against any loss, damage, injury or death suffered from the use of the facility or the premises and for any loss or damage to property of School, Facility and/or ROS and its affiliates caused by the negligence of the member or guest.
  12. The member or guest shall not damage the facility or any other property or equipment belonging to School, Facility or ROS and its affiliates. The member and guest assumes all responsibility for any damages caused by the member and their guest(s) to the facility, property or equipment of School, Facility or ROS and its affiliates. The member agrees to be responsible for the cost of repair or replacement of any School, Facility or ROS and its affiliates property lost, stolen, damaged, destroyed or defaced by the member or their guest(s). Any such damage may be repaired or replaced by School, Facility, and/or ROS and its affiliates and all costs incurred shall be payable by the member on demand.
  13. The School, Facility and ROS and its affiliates shall not be responsible for any loss or damage, theft or destruction of the member’s property by any cause of whatever nature.
  14. Members and Guests understand that photos and videos will be taken for promotional purposes by ROS.
  15. Guests are welcome only upon request by members and must be approved by ROS management team. “No walk-in allowed”
  16. Drop-in fees are applicable for non-members as determined by ROS management and will vary. 

 

Section 7: Minimum Performance Expectation

After the first club session, if the club organizer determines a member does not meet the minimum performance level of the club, group or program then ROS Management can offer an alternative or cancel the membership of the player with a refund.

 

Section 8: Request for Refund

If a member wishes to cancel their membership due to any reason, they must email info@royalottawasports.com with a valid reason and notify the program organizers as well. This email must be sent before the third session to qualify for a partial or full refund. The club will charge at least the administration fees and the drop-in fee for the first two sessions.

 

Section 9: Program Schedule, School Cancellations, and Membership Transfer

A detailed schedule will be emailed to you. 

Any cancellation by the school cannot be substituted with another session. Ramadan Break will apply with exception to clubs that will have minimum 50% attendees. Membership is not Transferable to another day or another player.

 

Section 10: Member Acknowledgement and Confirmation

ROS Club is exclusively for all genders over 18 years of age, unless otherwise specified on the registration form. By completing registering as a member and completing your membership payment, you are agreeing to the ROS Club Terms & Conditions. 

 

FAILURE TO ADHERE TO THESE TERMS & CONDITIONS MAY RESULT IN THE LOSS OF MEMBER AND GUEST PRIVILEGES.

 

ROS and its affiliates have all rights to change, modify rules and processes to benefit the club members at any time without notice.
